Position: Virtual Assistant

The Opportunity

I partner with small businesses in New Zealand supporting them in the Business Management space, from strategy and operations management to creating their business standard operating procedures. 


My business is growing and I need a VA superstar to support me with my business administration and management for up to 10 hours per month (hours will increase with time). Ideally, the right person will start in March 2023.

Job Purpose / Scope

  • Support with weekly and monthly tasks while working toward a goal of achieving operational excellence in all admin and operational processes, as well as some marketing admin. 

  • This is a contractor role, contracting for Laia Sastre-Navarro t/a Elevate Business Management, to supply me with a virtual executive assistant service.

  • You will provide executive-level assistance with strengths in process and strategy, project management and collaboration throughout multiple teams, excellent accounts and bookkeeping skills and the ability to think 3 steps ahead with end goals in mind.

  • You will be able to take initiative, be flexible in both thinking and practice, be systems savvy and always consider the best outcomes for the team. 

  • Hours might increase to also provide assistance to deliver client work. 

Key Responsibilities

  • Email and diary management

  • Accounts and bookkeeping

  • Workshop administration

  • Customer service

  • Invoicing

  • Document control (proofing, formatting, editing)

  • Sales support (proposals)

  • CRM administration

  • Project management

  • Process and procedure implementation and management

  • Newsletters and external marketing communications

  • Marketing admin

General Requirements


  • Have experience working with, and the level of communication skills necessary to communicate with executive-level clients. This includes both written and verbal.

  • Have daily availability (Monday-Friday) for contact with me, the action of tasks or project management as required.

  • Flexibility in hours: My usual working hours are 9am to 4pm and flexibility is required when required to meet deadlines.

  • Have excellent communication and interpersonal skills. Be able to deal with many types of people at all levels.

  • Open to direction and have a collaborative work style showing commitment to getting the job done.

  • Always seek to improve best practice.

  • Extensive administration skills with a strong background in accounts.

  • Project management experience - formal qualifications are not required, but practical experience is.

  • Excellent time-management skills.

  • Self-directed.

  • An ability to pick up new skills, programmes and tools easily.

  • An ability to problem-solve using the resources provided.

  • High level of accuracy in all spelling, grammar, proofing and editing functions.

  • A minimum of experienced level knowledge of the following products and a commitment to upskilling in these products:

    • Google Workspace

    • Canva

    • Asana

    • MYOB and Xero

    • Microsoft Office Suite
